We’ll be able to give you a better idea once we see your collection. We need to find out how many photos and videos you’ve got, what your goals are, and what you’re looking for in terms of our services.
Step One: We’ll have a short phone consultation to learn about your project, and for you to learn about us! We'll be asking you:
- Your goals for your photos. Do you want to put them in albums? Create a unified backup? Share them with friends? Use them to create slideshows? Downsizing?
- What your collection looks like. How many boxes of photos, slides, videos, albums, hard drives, etc. do you have? What will we be working with?
- Your current computer systems and devices. This is to help us figure out how we will work with and deliver the photos once they’re scanned and/or organized.
Step Two: If you’d like to move forward, we'll schedule an in-home paid Discovery Session. During the session, we will take the time to really learn your story. We'll ask about your family, important history/life events, and discuss the shape of the project to come. These details will help us greatly when organizing your photos later.
We will gather up all of your photos, hard drives, media cards, laptops, and tapes for transport to our office. We will also note your login credentials for any cloud-based services you might already be using. We'll discuss the plan for your project and take an appropriate deposit at that time.
Step Three: We’ll take your photos and videos with us, and our team will work together to scan and organize your images. We’ll also remove any duplicates from your photo collection and keep you updated on our progress!
When we have finished, you can receive your digital images in an organized system accessible from anywhere, at any time, from any device (as well as on a hard drive or other media, if you requested that).
If you so choose, we will return your materials in lovely archival boxes with computer-printed labels. Your prints will also be marked clearly with the date they’ve been digitized, so if you find that box of photos later, you’ll know right away that the images have already been scanned
Step Four: At this point, we’ll make recommendations for things like backup plans, maintenance of your organization system, and other next steps.
It depends on your project. There are a lot of variables.
We’ll give you a price range during our paid discovery session, and we can potentially work out monthly payment arrangements for your project.
Keep in mind that there may be a couple of additional costs that come up during your project – including things like archival storage boxes, fees for photo sharing websites, and hardware or software for backup.

It’s a good idea to digitize your older photos and home movies, because viewing and sharing them is probably pretty difficult right now.
For example, you may have a box of slides in your closet – but do you have a slide projector, so that you can actually enjoy those photos? Probably not. Most people have a lot of VHS tapes, slides, negatives, and prints that haven’t seen the light of day for years.
Additionally, many types of media degrade over time. If you smell vinegar coming from your reel-to-reel film, it means they have begun to break down, and should be copied soon. If you wait too long, the film may become unplayable.
Backups of photos and home movies are especially important in case of natural disaster or unforeseen circumstances. Floods and fires happen, and if your photos and videos are backed up in the cloud, they are memories you'll be able to recover in a catastrophe.
It is possible to have all your photos and videos digitized, organized, and accessible from any of your devices, at any time. You don’t need to feel overwhelmed about the process, because we can do it all for you.
Certainly! But most of our clients find the process overwhelming and beyond their level of expertise. There’s a lot of time, energy, and effort that goes into a project like this, so sometimes it’s just easier to hire someone else to handle the whole thing for you.
Also, keep in mind that a professional organizer is going to be able to get better scans of your prints, negatives, and slides than you would be able to get at home, because photo organizers use top-of-the-line digitizing equipment. So if you’re looking for the best possible results for your photo and video collection, hiring a photo organizer is the perfect solution for you.
We do almost all of our scanning in-house, so we won’t put your photos and videos at risk by sending them through the mail.
The only exception is 8-millimeter film, which we either deliver by hand to a local partner, or send to a trusted partner, with your approval.
We can work with any operating system or device you’ve got in your home or office. Mac and Windows are both fine.
We also understand that your family may have a mix of platforms and devices, and that’s okay too! Whatever combination of technologies you have, we can create a solution that works for you.
We can either teach you how to maintain your new system or our team can do ongoing maintenance for you. We can talk more about your options as we’re getting close to completion of your project.
Once we perform the assessment and we come up with a plan, your involvement can be as minimal as you’d like it to be. Memory Forward will perform all the digitizing and organizing work in our office, and keep you updated regularly.
Many of our clients (especially people who are overwhelmed) really want this process to be completely hands-off. If that’s you, that’s fine!
